Executive Coordinator

FLSA Status: Part Time (24 hours per week), Non-Exempt
Schedule: Flexible schedule, but work will be conducted Monday-Friday between 8am-6pm. Work will be performed on-site at GoggleWorks in downtown Reading, PA
Reports to Finance Director and Executive Director
Salary: $25/hour

Position Description
Are you passionate about supporting the arts and looking for a part-time role that lets you contribute to a vibrant artistic community? GoggleWorks Center for the Arts is seeking an organized, detail-oriented individual to assist both our Finance Director and Executive Director. This role is ideal for someone who excels in managing financial and administrative tasks in a dynamic environment.

Key Responsibilities 

Assisting the Finance Director:

  • Record daily sales transactions and weekly program registrations in QuickBooks.

  • Create customer invoices and process payments.

  • Manage bill payments and maintain financial records.

  • Prepare and deposit funds at the bank regularly.

  • Assist with financial reporting and other administrative tasks.

Assisting the Executive Director:

  • Manage schedules and coordinate meetings.

  • Prepare documents and reports for meetings and presentations.

  • Handle correspondence and communications on behalf of the Executive Director.

  • Assist in the planning and execution of special projects.

  • Provide general administrative support as needed.


  • Excellent organizational and time-management skills.

  • Strong understanding of basic accounting and financial processes.

  • Proficient in QuickBooks, Excel, and other financial software.

  • Ability to communicate effectively and professionally.

  • Prior experience in an administrative or financial role is preferred.

  • Ability to work independently and as part of a team.
